Workspaces

Introduction

In CazVid, projects are managed in workspaces, which means all of the data you have registered in your CazVid desktop is not necessarily directly related to your account, but it is directly related to your workspace. For questions or problems with the workspaces, please open up the customer service line with the chat button on the bottom left or consult our FAQ on workspaces.

CazVid has introduced this feature to allow users to collaborate on projects without having to share accounts. All of the data is registered in the workspace which makes seamless collaboration possible. Among others, in workspaces, users are able to share:
  1. Contacts
  2. Lists
  3. Job Postings
  4. Inboxes

1. Creating a new workspace

When creating a CazVid account, you will automatically be assigned your first personal workspace. Yet in some cases, you would like to create a new workspace, for example to:
  1. Work individually in one workspace and collaborate in another workspace
  2. Collaborate with different departments. (e.g. collaborate the head of sales for their hiring needs and collaborate with the marketing team, but not in the same workspace).
  3. Collaborate with different clients. Mainly for recruiters. (e.g. I want my clients to collaborate on my workspaces to judge my selections in CazVid).
To create a new workspace:
  1. Click the "+" icon on the left-hand side of your CazVid desktop
  2. Select 'Create A New Workspace'
  3. Enter your workspace name at the top
  4. (Optional) Click select logo and upload your logo from a local file
  5. (Optional) Invite other collaborators using the invite field on the bottom (separated by commas)
  6. Select the blue '+ Create Workspace' button to create your workspace

2. Workspace preferences

To an extent, users are able to customize their workspace. They can change the workspace name and set a logo for the workspace to make it more organized. You can also invite collaborators directly from here.

You can access your workspace preferences by clicking on the workspace name on the top-left of your CazVid desktop. After entering the workspace settings, you can edit the workspace name and update the workspace logo. Some suggestions for choosing a workspace name are:
  1. Project name (e.g. IT team expansion)
  2. Department name (e.g. Agency Leads LATAM)
  3. Project by timeframe (e.g. CazVid hiring July 2024)
To change your workspace preferences:
  1. Click on the workspace name on the top left of your CazVid desktop
  2. Select 'Project Preferences'
  3. Enter your desired project name in the workspace name field
  4. Click 'select logo' and upload your desired workspace logo
  5. Click the blue 'Save Changes' button on the bottom right of the project preferences panel

3. Invite co-workers to your workspace

You can invite co-workers to your workspace to work together on projects. To invite someone to your workspace:
  1. Click on the workspace name on the top left of your CazVid desktop
  2. Select 'Invite people to [your workspace name]
  3. Enter the e-mail of the person you want to invite to your workspace. If you would like to invite multiple people, you can enter all e-mail addresses and separate them using commas. For example, I would like to invite johndoe@cazvid.com and janedoe@cazvid.com, therefor I should enter "johndoe@cazvid.com,janedoe@cazvid.com" in the textbox, then both of those users should receive a workspace invitation. You can always send more invitations later.
  4. Click on the blue 'Send Invites' button on the right to confirm your invites and send them an e-mail notification.
After inviting your co-workers, you can manage the invites in this same section. You can also invite your co-workers from the workspace preferences using the same logic.
Alert
The e-mail addresses you send the invite to, should be connected to registered CazVid users to accept the invitation. So, if these people do not already have a CazVid account with these e-mail addresses, let them know they should sign up to CazVid using the e-mail you sent the invite to. This can still be done after sending the invitation.
You can invite co-workers to your workspace by clicking your workspace name on the top left of your screen and selecting 'Invite people to [Workspace Name]

4. Joining a workspace (accepting a workspace invitation)

If you have successfully been invited to a workspace, you will see that the plus icon on the left-hand side of your CazVid desktop will show a notification (orange dot). You will also have received a reminder e-mail. To accept a workspace invitation:
  1. Select the "+" icon on the left-hand side of the screen
  2. Select 'Join Another Workspace'
  3. Select the workspace(s) you would like to join
  4. Select 'Join Workspace(s)'
Join someone else's workspace by selecting the "+" icon on the left of your screen and selecting 'Join Another Workspace'
